Important Information

Payment Policy​​​

  • All sessions at Active Health Psychology are scheduled for 50 minutes with 10 minutes allocated after the session for case note completion.

  • All initial sessions for children and adolescents are scheduled as Parent/Guardian only sessions unless otherwise notified or in special circumstances.

  • In the case of conducting psychometric assessments, sessions can be scheduled for 60-120 minutes.

  • Psychology sessions are made by appointment. If for any reason you are unable to attend your scheduled appointment, you are required to provide notice of cancellation a minimum of 24 business hours prior to the appointment or you will be charged 100% of the scheduled session fee. 

  • Attendance and cancellation fees must be paid within 7 days and/or prior to your next session or all remaining sessions will be cancelled. 

  • Our team understand that sometimes life circumstances occur and that 24 hours cancellation notice is difficult to provide, therefore if another appointment is available within the same week that you require cancellation, we may attempt to move your appointment to a more suitable time to avoid this cancellation fee, however we are not required to do so. Should no other appointment be available and 24 business hours has not been provided, the cancellation fee will be applied. If clients do not show to their allotted appointment time and no notice is provided you will be charged the cancellation fee. 

  • All clients are asked to complete a Credit Card Authorisation Form (except NDIS participants and sponsored athletes). Your details are stored securely and you can be charged for your appointment via this method of payment for attendance and late cancellation. It is the client's responsibility to ensure that Active Health Psychology is notified should personal card details be changed.

  • Please note, if sessions are booked on Monday, notification of cancellation must be made no later than 12pm the preceding Friday in line with Active Health Psychology's opening hours. In the case that a client does not attend an appointment with no notice provided, any further sessions with this client will be cancelled and no rebooking will be made until the client has been in contact and the late cancellation fee is paid in full. Our administration team will attempt to make contact in these circumstances and it is entirely the client's responsibility to provide up-to-date contact details for this to occur.

  • In the case that three consecutive appointments are missed, whether notice is provided or not, this pattern of non-attendance will be discussed with you to determine whether therapy should continue as it is an expectation that commitment be shown to your sessions. In the case that three consecutive appointments are not attended, Active Health Psychology are able to cancel any further bookings you may have. In the case that we are unable to contact you regarding missed appointments, your future bookings will be removed.

  • Active Health Psychology is committed to providing therapeutic services to young people and adults and we do not receive any Medicare rebates or Private Health payments when clients do not arrive for scheduled appointments. The client is also unable to claim their failed to attend sessions through Medicare or Private Health services.

  • Payment of sessions is required directly after the conclusion of that session and can be done so using the facilities provided at the place of service or by directly charging your credit card after consent to do so has been obtained through the Credit Card Authorisation Form. Rebates for the session can also be completed at your place of service, or online through our system PRODA, or by yourself through the Medicare app, or directly with your Private Health care fund. Self Managed NDIS participants will be asked to pay for their appointment at the conclusion of the session, however in some circumstances we understand this may not be possible (e.g. delay in claiming through NDIS portal) and an invoice will be sent for payment to be made within 7-days. NDIS plan managed participants have allocated a plan manager to pay their invoices and your invoice will be sent directly to your plan manager after your appointment or in the case of a late cancellation. It is the client's responsibility to inform Active Health Psychology of their allocated plan-manager and any changes to their NDIS plan that may impact service delivery.

  • Please understand that we are committed to providing a high quality of care to you and/or your child and rely on the adherence to this policy in order to continue to provide support. If you have any questions please do not hesitate to ask your practitioner or one of our friendly administration officers.

  • Clients are charged for any additional reporting and resource development that may be required and will be billed accordingly.

  • Full payment of completed reports and resources must be received before the report or resource can be released.

  • Active Health Psychology reserves the right to change our fees at any time without prior notice.

Non-Personally Identifiable Information: We also use the information we collect in aggregated and anonymised forms to improve our services, including: administering our website, producing reports and analytics, advertising our products and services, identifying user demands and assisting in meeting customer needs generally.

 

Any information you choose to make publicly available, such as blog comments on our website, will be available for others to see. If you subsequently remove this information, copies may remain viewable in cached and archived pages on other websites or if others have copied or saved the information.

 

STORAGE AND SECURITY OF YOUR INFORMATION

 

We will use all reasonable means to protect the confidentiality of your Personal Data while in our possession or control. All information we receive from you is stored and protected on our secure servers from unauthorised use or access. .

 

To enable us to deliver our services, we may transfer information that we collect about you, including Personal Data, across borders for storage and processing in countries other than Australia. If your Personal Data is transferred and processed outside Australia, it will only be transferred to countries that have adequate privacy protections.

 

We retain your personal information for as long as needed to provide services to you and as otherwise necessary to comply with our legal obligations, resolve disputes and enforce our agreements.

 

In the event there is a breach of our security and your Personal Data is compromised, we will promptly notify you in compliance with the applicable law.
